How do you map BambooHR departments to HubSpot teams and seats?

We agree a mapping table, for example Sales to a Sales Hub seat and the Sales team, Support to a Service Hub seat, and everyone else to a core seat or no user at all. The table is editable, so reorganisations do not require code changes. Unmapped departments are flagged rather than guessed.

Does the sync run in real time?

BambooHR webhooks notify us of employee changes as they happen, so provisioning and deactivation usually complete within minutes. Directory-style data and headcount properties are refreshed on a schedule, typically nightly.

What happens with duplicates or conflicting data?

Each HubSpot user is tagged with the BambooHR employee ID so rehires and name changes update the existing user instead of creating another. BambooHR is treated as the source of truth for employment data; HubSpot-side edits to those fields are overwritten and logged. Errors are reported to a named owner in HR or RevOps.

Can an AI agent use both systems via MCP, and how long is the build?

Yes. An MCP server can let an assistant check "which HubSpot users are not active employees" or draft an offboarding reassignment plan for approval, with HR fields limited to what is needed. A standard provisioning and offboarding scope typically takes a few weeks.
