HubSpot API and authentication model

Everything in HubSpot’s CRM is an object with a type ID, properties and associations, and the same endpoints serve contacts (0-1), companies (0-2), deals (0-3), tickets (0-5), products (0-7), line items (0-8), quotes (0-14), invoices (0-53), payments (0-101), orders (0-123) and custom objects (2-xxx). Every record has an hs_object_id, which HubSpot says to treat as a string; contacts also use email as a unique identifier and companies use domain, and the idProperty parameter lets us address records by either or by a custom unique property.

For one HubSpot account we use a private app, created by a super admin with only the scopes the sync needs, such as crm.objects.deals.read and crm.objects.invoices.write; HubSpot allows 20 per account with a 7-day rotation overlap. HubSpot’s newer service keys are account-level credentials for data-only jobs that share the private-app limits but cannot receive webhooks. An app installed in several accounts must use OAuth, where access tokens expire after 30 minutes and are renewed with a refresh token. Since March 2026 HubSpot ships date-based API versions such as /2026-09/, each supported for at least 18 months, and states that the v1 to v3 endpoints continue to work.

  • Batch endpoints take up to 100 records per call for create, read, update and upsert.
  • Associations v4 batch reads take 1,000 inputs and batch creates 2,000; up to 50 labels per object pair.
  • Search runs at five requests a second per account, 200 results a page, 10,000 per query, and skips archived records.
  • Up to ten unique-value properties per object hold external IDs such as the ERP customer number.

HubSpot in front of your ERP, accounting and store

The recurring pattern is a CRM in front of a system of record. HubSpot owns leads, companies, deals and marketing consent; NetSuite, Business Central, QuickBooks Online or SAP Business One owns customers, items, prices, orders, invoices and credit; Shopify owns storefront customers and orders. Records match on stable keys stored on both sides: a HubSpot company carries the ERP customer number in a unique-value property and the ERP customer carries the HubSpot record ID; contacts match on email, then on the stored ID; deals carry the ERP order or invoice number once one exists; products match on SKU. Deal stages map to ERP order states through an explicit table, as HubSpot’s own Data Sync also requires the stage label to match exactly.

For invoices and payments we choose between HubSpot’s Revenue Hub objects and the ERP. HubSpot’s invoices API creates draft and open invoices with required contact and line-item associations; the payments API records payments completed in an external system so an invoice can be marked paid, with the processor recorded as HubSpot payments, Stripe, QuickBooks, Xero or none; quotes by API need Revenue Hub Professional or Enterprise. When the ERP is the ledger, we mirror invoice number, status, amount and balance due onto the deal rather than keep two invoice objects. Stores add a third party: HubSpot’s orders API exists, in its own words, to keep HubSpot in step with platforms such as Shopify and NetSuite, with order pipelines for stages such as paid, shipped and refunded. We keep store orders one-way into HubSpot, send each order to the ERP once, and return fulfillment status to both.

Failure, retries and reconciliation

HubSpot webhooks are reliable but neither ordered nor exactly-once. A private or legacy public app subscribes to creation, deletion, property change, association change, merge and restore events; HubSpot delivers up to 100 events per request with at most 10 in flight, expects a response within five seconds, and retries a failed delivery up to 10 times over 24 hours. We answer immediately, queue the event, verify the X-HubSpot-Signature header and process by hs_lastmodifieddate so a late duplicate cannot overwrite a newer change. Marketplace apps on the newer platform instead poll a journal that holds three days of events.

Rate limits are the other failure source: a burst of 190 calls per 10 seconds sounds generous until a backfill of 200,000 contacts meets a search cap of five requests a second. We read the X-HubSpot-RateLimit-Remaining and Interval headers, back off on a 429 and use batch endpoints for bulk work; daily limits are shared by every private app in the account, so we size the sync against what your other apps consume. Reconciliation catches what events miss: a scheduled job compares records changed in the last day on both sides, writes exceptions to a held list with a reason, and gives finance a daily report of deals, orders and invoices that disagree. Nothing is silently corrected.

  • Merges: a HubSpot merge event re-keys the surviving record on the ERP side.
  • GDPR deletes: a privacy deletion event removes or anonymizes the linked record where your policy requires.
  • Backfills: run through batch endpoints in 100-record pages, throttled under the daily limit.

Security, permissions and data residency

The integration’s identity is a private app or service key with the narrowest scopes that work, never a user’s login. HubSpot warns that a private app token stops working if the user who created it is removed or the subscription loses a feature, so we create apps under a service super-admin and monitor for authentication failures. Webhook endpoints verify HubSpot’s SHA-256 signature and reject anything else.

HubSpot hosts each account in one AWS region: the EU in Germany, US East in Virginia, US West in Oregon, Canada in Montreal or Australia in Sydney. New accounts are assigned by the sign-up IP location, free accounts land in the US, and paid accounts can migrate at no charge. HubSpot also states that analytics and usage data are transferred to the US, and that marketplace apps, partners and support staff can process data outside the region, so for an EU customer we run the integration service in an EU region and record it in the data processing documentation. GDPR features live in HubSpot’s data privacy settings: a legal basis for processing property on contacts, consent-based subscription types, and a permanent delete that the API exposes at /crm/v3/objects/contacts/gdpr-delete, where a delete for an unknown email adds that address to a blocklist. The sync carries legal basis and subscription fields to the store or ERP where marketing runs there, and never recreates a permanently deleted contact from ERP data.

Timeline, environments and acceptance tests

A standard scope, meaning companies, contacts, deals with line items, orders or invoices and status back with one ERP or accounting system, usually takes a few weeks including testing. Multi-entity ERPs, several HubSpot accounts or stores, custom objects and approval steps typically take two to three months. A written scope and timeline follow a short discovery.

Any developer can create up to 10 free developer test accounts with a 90-day trial of Enterprise features, renewable while API calls continue. Enterprise customers can create a standard sandbox that copies the account’s settings and, optionally, the 5,000 most recently updated contacts with up to 100 associated deals, companies and tickets each. We test there, then rehearse on a filtered slice of production before turning on the full sync. The ERP or accounting side needs its own test company; QuickBooks Online sandboxes cannot be connected to HubSpot’s own sync app.

  • A deal moved to Closed Won creates exactly one ERP order, and a second webhook for the same change creates none.
  • An invoice paid in the ERP updates the deal’s invoice status and balance due within the agreed window.
  • A contact merged in HubSpot keeps its ERP link and history on the surviving record.
  • A company with the same domain in HubSpot and a different customer number in the ERP is held, not merged.
  • A 429 from HubSpot pauses the queue and resumes without loss; the daily reconciliation shows zero unexplained differences.

AI agent access to HubSpot via MCP

HubSpot runs its own remote MCP server at mcp.hubspot.com, generally available to all accounts since April 13, 2026. A client such as Claude, ChatGPT or Cursor connects with OAuth 2.1 and PKCE, and every action respects the connecting user’s HubSpot permissions. Its roughly 40 tools read contacts, companies, deals, tickets, line items, quotes, invoices, orders, carts, products and subscriptions, and write contacts, companies, deals, tickets, line items, products and activities. Invoices, orders and quotes are read-only, some marketing tools need Marketing Hub Professional or Enterprise, and accounts with sensitive data turned on lose access to activity objects.

For a sales assistant that lives inside HubSpot, that server is usually enough, and we help teams connect it and set permissions. AIONDATA builds a custom MCP server when the question spans systems: which of this company’s NetSuite invoices are overdue, whether the Shopify order behind this ticket has shipped, or what the ERP credit hold means for this deal. The custom server reads through the same mappings as the sync, and any write, such as creating a task or updating a stage, goes through an approval step you define.

How AIONDATA scopes and delivers a HubSpot integration

Discovery takes a few days. We read your HubSpot data model (objects, custom properties, pipelines, association labels), your tier and API usage, and the other system’s edition and API, then write a mapping document with owners, keys, directions and triggers for every object. You review it before we build, and it becomes the acceptance test list and later the runbook.

We recommend the least custom option that meets the mapping: HubSpot’s Data Sync app where it fits, a marketplace or iPaaS connector where one exists, and a custom service where the rules demand it. The build runs in a test account or sandbox, then on a production slice, with monitoring, alerts and a daily reconciliation report from the first week. At handover you own the code, the private app configuration, the mapping document and the runbook.

Which HubSpot API do you build on, and what changed in 2026?

The CRM API: object endpoints for contacts, companies, deals, tickets, products, line items and the Revenue Hub objects, plus properties, associations v4, search and batch. Since March 2026 HubSpot ships date-based versions such as /2026-09/ each March and September, supported for at least 18 months, while v3 endpoints keep working. We build on the current dated version and keep the version string in one place.

Can you connect HubSpot to our ERP, such as NetSuite, Business Central or SAP Business One?

Yes, and it is the most common HubSpot request we see. HubSpot owns leads, companies and deals; the ERP owns customers, items, orders, invoices and credit. We map the deal and its line items to the ERP order, store the ERP IDs on the HubSpot records, and send invoice status and balances back. HubSpot’s own NetSuite and Business Central sync apps cover standard objects; we build a custom sync for subsidiaries, approval steps, custom objects or tax and pricing rules. Can you connect HubSpot to QuickBooks Online or another accounting system?

Yes. HubSpot’s QuickBooks Online data sync app matches contacts to customers, products to products and services, and invoices and credit memos in either direction; changes leave HubSpot within minutes and return from QuickBooks every 30 minutes. It cannot connect a QuickBooks sandbox, and most non-US QuickBooks versions require tax on synced invoices, which HubSpot’s invoice sync does not support. Can you connect HubSpot to Shopify or another e-commerce platform?

Yes. HubSpot’s Shopify data sync app syncs contacts and products in both directions, companies only on Shopify Plus, and orders and abandoned checkouts one-way from Shopify into HubSpot orders and carts; metafields are not supported. When you also run an ERP, the store, HubSpot and the ERP must agree on who owns customers and orders. Can you integrate HubSpot with Zendesk?

Yes. The Zendesk app on the HubSpot App Marketplace, built by Zendesk with about 4,000 installs, adds Zendesk ticket activity to the HubSpot contact timeline and creates contacts from ticket requesters; it is one-way into HubSpot. If HubSpot tickets or deals must open Zendesk tickets, or priority, SLA and organization fields must map both ways, we build that on the two APIs with webhooks on each side. Should we use HubSpot Data Sync, a marketplace app, or a custom integration?

Start with Data Sync when a HubSpot-built app exists for your system and its default object pairs fit: it is included in every plan, checks for changes every five minutes and needs a Data Hub subscription only for custom field mappings. Use a marketplace or iPaaS connector when Data Sync lacks your system. Choose a custom build for custom objects, line-item and tax logic, ERP subsidiaries, approval steps, or a reconciliation report finance can sign off. We often combine them: Data Sync for contacts, a custom service for orders and invoices.

What are HubSpot’s API rate limits, and will they be a problem?

A private app gets 100 requests per 10 seconds in a Free or Starter account and 190 in Professional or Enterprise; the account gets 250,000, 625,000 or 1,000,000 requests a day. Each API limit increase adds 1,000,000 a day and raises the burst to 250, at most twice. Search is capped at five requests a second and 10,000 results per query. Batch endpoints take 100 records per call, so a nightly sync of 50,000 records costs about 500 calls, and webhook deliveries do not count.

Do we need HubSpot Enterprise for custom objects?

Yes. Custom objects such as subscriptions, assets or locations require an Enterprise subscription of one of the hubs, and how many you may create depends on your subscription per HubSpot’s Product & Services Catalog. Below Enterprise we model extra data with custom properties (up to 1,000 per object), association labels (up to 50 per object pair) and, where it fits, deals or tickets in a dedicated pipeline.

How is access controlled, and where is our HubSpot data hosted?

Integrations authenticate with a private app access token, HubSpot’s newer account-level service keys, or OAuth for apps installed in several accounts. Each carries only the scopes you grant, such as crm.objects.deals.read, and private app tokens rotate with a 7-day overlap. HubSpot hosts accounts on AWS in the EU (Germany), the US, Canada or Australia; the region is set at sign-up and paid accounts can migrate. Analytics data and marketplace apps can still process data in the US.

Can AI agents use HubSpot?

Yes. HubSpot’s remote MCP server at mcp.hubspot.com has been generally available to all accounts since April 13, 2026. Claude, ChatGPT and other MCP clients connect over OAuth 2.1 with PKCE and act under the connecting user’s HubSpot permissions, reading most CRM objects and writing contacts, companies, deals, tickets, line items, products and activities; invoices, orders and quotes are read-only there. What does a HubSpot integration cost and how long does it take?

Configuring Data Sync or a marketplace app usually takes days to a couple of weeks, plus the app’s own fee where one applies. A custom two-way sync of companies, deals, orders and invoices with one ERP or accounting system usually takes a few weeks including testing in a developer test account or sandbox. Several HubSpot accounts, ERP subsidiaries, custom objects or a store in the loop typically take two to three months. Enterprise is needed for custom objects and sandboxes, Data Hub for custom field mappings and workflow webhooks.
